Creators and codes
A creator applies on your site, you approve them, and they get a link and — unless you run links only — a discount code.
Applications
The Creator application form block
([sharecrew_apply]) asks where the applicant posts,
why they want to partner with you, an optional post they are proud
of, their country, and their acceptance of your terms (the
Terms page URL, stamped with the Terms version).
An applicant with a new email gets a customer account. The form
is rate-limited and carries a honeypot.
Under Applications you choose the handle — which becomes their link and code — add an optional welcome message, and Approve and send, or Decline with a reason the applicant can see. Applicants are told you reply within Reply to applications within (days), 3 by default; a declined applicant can re-apply after 30 days by default.
Creator codes
With Settings → Codes → Give each creator a discount code on (the default), approval creates a WooCommerce coupon owned by ShareCrew. The coupon discounts the audience's order and credits it to the creator.
- Code style: the handle (
ANA), a prefix plus the handle (SC-ANA), or custom. - Uses per customer: 1 by default; 0 for no limit.
- Creator codes combine with other coupons, including individual-use ones: off by default, so a coupon marked individual use blocks a creator code, as WooCommerce normally does. Two creator codes never combine.
- Creator's own use of their code: allowed by default. Blocked refuses it at checkout. Either way a creator never earns on their own order.
- Move usage to paid (on by default): a use is counted only once the order is paid, so an abandoned order does not use up a customer's one use.
Rotating a code (Creators → Rotate code,
with a reason) stops the old code validating at checkout and issues
a new one — ANA2, ANA3… or a random
suffix, per Rotation style. Orders already placed with the
old code keep their attribution, and the creator is emailed.
Links-only mode
Turn Give each creator a discount code off and ShareCrew runs on links only: no creator codes and no audience discount. Orders are credited through the creator's links, WooCommerce's order attribution and customer locks. Every screen, email and the public program summary then speak only of the link, and the code-leak monitor is off.
Switching codes off expires the creators' coupons without deleting them. Switching back restores them as they were, and gives a code to every creator who joined meanwhile.
Links only with Codes only tracking leaves only locks and manual assignment to credit orders — the Codes card warns when you combine them.
Who pays for the audience discount
Who pays for the audience discount has two settings:
- The store (default): every code gives the program's discount, and the creator's share is worked out on the profit after it — you and the creator each carry part of it.
- The creator, out of their share: each creator picks their code's discount, a whole percent between Lowest discount a creator can choose and Highest discount a creator can choose (5% and 15% by default), from their portal, at most once a day. Until they choose, they get the lowest. The share is worked out as if the code had not been used, then the discount comes off it — never below zero, and never carried to another order. Your margin on the order is the same with or without the code. Orders credited by link carry no code and keep the full share.
Changing either the setting or the range re-applies the rules to every creator coupon at once. A tier can also set its own discount while the store pays for it.
Tiers
A creator's tier follows the profit they generated — the basis, not their commission — over Tier evaluation window (days), 90 by default. Tiers are evaluated daily. A creator moves up at the first evaluation after they reach a tier's threshold; they move down only on the 1st of a month, after a full window below their current tier. Each tier has a rate, perks text, an optional customer discount and a gift allowance. An optional Tier-up bonus matures like a sale and is kept only if the creator still qualifies when it matures.
A creator can also be given a Rate override on their own page, which beats the tier's rate.
Gifts
With Let creators request gifts on, a creator whose tier has a gift allowance can request products from the portal. You approve every request. Approval creates a real, paid WooCommerce order for the creator — so stock, fulfilment and shipping behave normally — which is never attributed and never earns. Its cost is recorded against the creator as program cost.
Posts
A creator can register a post in their portal and get a link for it
(/go/<handle>/p<n>), so clicks and orders can
be seen per post. Views and engagement figures on a post are
self-reported and labelled that way: ShareCrew does not read them
from any platform. You can mark a post reviewed under
Posts.
Pausing and archiving
- Pause (with a reason the creator sees): their code stops working and their links stop crediting them, and their portal goes read-only. Resume at any time.
- Archive: they leave the program. Earnings they already have still pay out, and a balance that refunds have left below zero is written off — a creator is never asked to pay money back.
- Archive for fraud (reason required, never shown to the creator): the same, except a negative balance is kept as it is. Approving them again later clears that mark.
A creator can also leave on their own from their portal's Profile screen.
Possible code leaks
Once a day ShareCrew looks at each creator's code over the last seven days. It flags a code used at least ten times that week and at least three times as often as its weekly average over the four weeks before, or used on orders referred from a known coupon-site domain. You get an email and a note on the creator. A flag changes nothing: the code keeps working. If it was posted on a coupon site, rotate it; if a post simply did well, clear the flag.
