Commissions
Money rows are appended, never edited. A commission that changes is a new row pointing at the old one, so what a creator was shown is always on record.
From order to payable
- Created when an attributed order first reaches a paid status — processing or completed. Not on pending or on hold: an unpaid order has no profit yet. Status: pending.
- Matured after Settings → Payouts → Payable after (days), 30 by default — set it to your return window. An hourly job approves the row if the order is still paid and not fully refunded, and voids it if the order was refunded, cancelled or failed. Status: approved, shown to the creator as available.
- Paid when the payout it belongs to is marked paid.
Maturing is the one thing ShareCrew does on its own. Holding, voiding, rotating a code, pausing a creator and paying anyone each take a click from a person.
Refunds
| Commission | Full refund | Partial refund |
|---|---|---|
| Pending or on hold | Void | Void, and a new adjustment row on what was kept |
| Approved, not yet paid | Void | Void, and a new approved adjustment row |
| Paid | A clawback row for the whole amount | A clawback row for the difference |
A partial refund removes the refunded items and recomputes. Shipping, packaging and the payment fee stay at their original values — the parcel was still sent, and gateways rarely return fees. A refund never raises a commission.
Refund after payout decides what a clawback does: Take it off the next payout (default) or Let the creator keep it, which still records the row, voided, so you can see what was forgiven. Either way the creator never receives an invoice from you.
An order that moves from refunded or cancelled back to paid keeps the commission it had. It is listed as a re-opened order for you to Recompute or dismiss.
Why a commission is on hold
| Shown as | Why | What to do |
|---|---|---|
| Cost unknown | A line had no cost and the policy is to hold | Add the cost, then Recompute |
| Above the maximum share | The share exceeded Maximum share of revenue | Check the costs; Recompute, or raise the limit |
| Order never settled | The order sat in an unresolved status for twice the maturity period | Settle the order in WooCommerce |
| Refund could not be worked out | A refund on the order could not be reconciled | Check the refund; its rows wait out of payouts |
| Held by hand | Someone held it, with a reason | Release it when resolved |
A creator sees a held commission as Under review, without your reason. The maximum-share hold is the one exception: it tells them the order is being checked by hand because it is larger than usual for its value.
Manual actions
On the Commissions screen, each needs a reason and is recorded under Activity:
- Hold and Release.
- Void — pending, held or approved rows only. A paid row is never voided; a refund claws it back instead.
- Recompute — pending or held rows only, after you fix a cost. It voids the row and writes a new one with a fresh breakdown.
- Bonus — a positive row with a label.
Click a row to open its breakdown: each product with its cost and where that came from, shipping, packaging, the payment fee, the profit, the rate and the share. Export CSV downloads the list.
On the order screen
Each WooCommerce order has a Creator box showing who it was credited to and why (the code, the link, a lock…), with the commission. From there you can attribute an order to a creator, change the creator, or clear it — each with a reason. The orders list gets a creator column.
Settings → Advanced → Credit unattributed orders from the last 30 days re-runs attribution in the background. Orders that already have a creator are not changed, so running it twice is safe.
